3.3 Shoutout information

When you use Shoutout by Screenox, we may collect:

  • customer’s name and contact details;
  • recipient’s name;
  • relationship to the recipient;
  • occasion details;
  • personalised messages;
  • photographs;
  • videos;
  • audio, where accepted;
  • selected cinema;
  • requested display date and timing;
  • creative preferences;
  • content approvals; and
  • proof-of-execution photographs or videos.

You should provide only the information necessary to execute the Shoutout.

Do not submit confidential or highly sensitive information such as passwords, financial credentials, government identification numbers, medical records, private addresses or other information that is not required for the service.

3.4 Payment and transaction information

Payments may be processed through third-party payment service providers, including Razorpay.

We may receive:

  • payment status;
  • transaction reference;
  • payment method category;
  • amount paid;
  • refund status;
  • billing details; and
  • limited payment-related metadata.

We do not ordinarily store complete debit-card numbers, credit-card numbers, CVV details, UPI PINs, banking passwords or other sensitive payment authentication credentials. Payment providers process such information under their own privacy policies and applicable legal obligations. Razorpay’s terms separately recognise that payment and transaction data are processed under its privacy policy and applicable law.

Where processing is based on consent, you may withdraw that consent by contacting us. Withdrawal will not affect processing already completed before the withdrawal request.

Some data may still need to be retained or processed to complete an existing booking, comply with law, prevent fraud, resolve a dispute or maintain legally required records.

7. Public Display of Shoutout Content

Shoutout by Screenox is designed for display on cinema lobby screens or other publicly accessible media screens.

By submitting Shoutout content, you acknowledge that:

  • the content may be visible to members of the public;
  • other cinema visitors may photograph or record it;
  • third parties may independently share the content;
  • Screenox cannot fully control third-party recording or redistribution after public display; and
  • confidential, private or sensitive information should not be included.

Public display is an essential part of the Shoutout service. Customers should consider the recipient’s privacy and expectations before submitting content.

8. Permissions for Photographs, Videos and Messages

When you upload a photograph, video, name, message, logo, music file or other content, you confirm that:

  • you own the content or have permission to use it;
  • you have the authority to submit it;
  • you have obtained all required consent from persons identifiable in it;
  • its public display does not violate privacy, copyright, trademark, personality, publicity or other rights;
  • it was not obtained through deception, harassment or unauthorised access; and
  • it does not contain unlawful or prohibited material.

We may request proof of ownership, authority or consent.

We may reject or remove content where we reasonably believe that the required permissions have not been obtained.

9. Information Relating to Children

Bookings must be made by a person who is at least 18 years old.

We do not knowingly permit children to independently purchase our services.

Where content includes a person below 18 years of age, the customer must have appropriate authorisation from the child’s parent or lawful guardian.

Content involving children may be rejected where:

  • parental or guardian consent cannot be established;
  • the content may affect the child’s safety, dignity or privacy;
  • the content is inappropriate for public display; or
  • its processing would be inconsistent with applicable law.

10. Sharing of Personal Data

We do not sell personal data.

We may share limited personal data with:

  • cinema operators;
  • mall and venue operators;
  • digital-screen and media-technology partners;
  • creative production partners;
  • hosting and cloud-service providers;
  • website and analytics providers;
  • communication providers;
  • payment processors, including Razorpay;
  • accountants, auditors, insurers and legal advisers;
  • law-enforcement agencies and government authorities; and
  • prospective purchasers, investors or successors in connection with a lawful business restructuring.

Information is shared only where reasonably necessary for the relevant service, legal obligation or legitimate business requirement.

Third-party service providers may process data on our behalf and may be required to follow contractual confidentiality, security and data-protection obligations.

11. Cinema and Venue Partners

To execute a campaign or Shoutout, we may share:

  • approved creative files;
  • cinema and date information;

Cinema operators and venues may have independent policies relating to entry, filming, security, content approval and public display.

Where a cinema or venue independently collects personal data directly from you, its own privacy policy may apply.

  • invoices, payment records and statutory accounting information may be retained for the period required under applicable law; and
  • marketing contact information may be retained until consent is withdrawn or the person opts out.

Content may be retained longer where:

  • a complaint or dispute is pending;
  • a chargeback or payment investigation is underway;
  • fraud or misuse is suspected;
  • legal proceedings are anticipated or ongoing;
  • retention is required by law; or
  • the customer has separately consented to promotional use.

Once data is no longer required, we may delete, anonymise or securely archive it.

Deletion requests made before execution may affect our ability to complete the booking.

Deletion of publicly displayed Shoutout content cannot reverse photographs, recordings or copies independently made by cinema visitors or other third parties.

20. Promotional Use of Customer Content

We will not ordinarily use a personal Shoutout photograph, video, message or recipient identity in:

  • advertising;
  • social-media posts;
  • case studies;
  • presentations;
  • promotional reels; or
  • marketing campaigns,

unless we obtain separate permission from the relevant customer or identifiable individual.

Operational photographs or videos may be collected for proof of execution. Where practical, we will avoid unnecessarily capturing identifiable cinema visitors.

21. Third-Party Links and Services

Our website or communications may contain links to third-party services, including:

  • Razorpay;
  • WhatsApp;
  • Meta platforms;
  • Google services;
  • cinema websites;
  • map services; and
  • social-media platforms.

We do not control the privacy practices of independent third parties.

You should review their privacy policies before submitting information through their platforms.

22. Business Transfers

If Screenox Media undergoes a merger, acquisition, restructuring, financing, sale of assets or transfer of business, personal data may be disclosed or transferred as part of that transaction.

Any recipient will be expected to process such information consistently with applicable law and the privacy commitments applicable at the time of transfer.
